Which overdue invoice email template should I send?
Count the days first. A client who is 3 days late needs a different email from one who is 4 weeks late, and sending the wrong one either sounds rude or gets ignored. Below is a 4-step ladder by days overdue, with the full wording of each email to copy.
The ladder: days overdue → which email

Due in 3 days or less
1Heads-up
Before it's late
1–7 days late
2Friendly nudge

8–21 days late
3Firm reminder
Days late + a pay-by date
22+ days late
4Final notice

How to count: days overdue = today's date minus the due date. An invoice due on October 5 is 4 days overdue on October 9, so it gets a friendly nudge. If you have more than one late invoice, start with the most overdue one.

The 4 overdue invoice email templates
This is the wording of the four reminder templates in the Freelance Client & Invoice Tracker. In the workbook the placeholders are filled in automatically; here they are shown in [brackets] for you to replace. Adapt the wording to your contract and the rules where you and your client are.
1Heads-up (due in 3 days or less)
Subject: Invoice [invoice #] is due on [due date]
Hi [first name], a quick heads-up that invoice [invoice #] for [amount] is due on [due date]. Everything you need to pay is on the invoice. Thanks, [your name]
2Friendly nudge (1–7 days late)
Subject: Quick reminder: invoice [invoice #]
Hi [first name], invoice [invoice #] for [amount] was due on [due date], [days] days ago. Could you let me know when it's scheduled? If it's already on its way, thank you, and please ignore this. Best, [your name]
3Firm reminder (8–21 days late)
Subject: Invoice [invoice #] is now [days] days overdue
Hi [first name], invoice [invoice #] for [amount] was due on [due date] and is now [days] days overdue. Please pay the balance of [amount] by [pay-by date], or reply with the date it will be paid. Thank you, [your name]
4Final notice (22+ days late)
Subject: Final notice: invoice [invoice #]
Hi [first name], invoice [invoice #] is now [days] days overdue and I haven't had a reply to my earlier reminders. If the balance of [amount] isn't paid by [pay-by date], I'll pause any further work. If there's a problem with the invoice, please reply today so we can sort it out. Regards, [your name]
Late fee (optional): only if your contract or terms already include one, extend the final notice sentence to "…I'll pause any further work and add [your late-fee wording] as set out in my terms." Adding a fee that was never agreed usually starts an argument, and the rules on late fees differ by country and state.
Why the wording changes at each step
Heads-up: no pressure at all. It catches the boring problems (invoice sent to the wrong person, a missing PO number) before the due date passes.
Friendly nudge: most invoices a few days late were simply forgotten. The email asks a question ("when is it scheduled?") instead of making a demand, and gives the client an easy way out if the payment is already on its way.
Firm reminder: after a week, a vague "any update?" is easy to ignore. This step names the exact number of days and a pay-by date. A date about five days out is enough time for a normal payment run.
Final notice: it states one consequence you can actually carry out, pausing further work, plus a deadline. It still leaves a door open ("if there's a problem with the invoice…"), because a disputed invoice needs a conversation, not another reminder.
Two habits make every step work better: send each email as a reply in the same thread so the history is visible, and attach or link the invoice again so nobody has to search for it.
What the tracker does with these templates
Reminders Today tab (real file, sample data). The email body for INV-005 is the value of a formula cell, ready to copy.
In the Freelance Client & Invoice Tracker, you log each invoice once (client, amount, due date, payments). The Reminders Today tab then:
lists open invoices with the most overdue first and calculates the days overdue,
picks the step from the ladder above ("Send this"),
fills in the client's first name, invoice number, balance, due date, days overdue and a pay-by date (today plus a reply window, 5 days by default),
gives you the subject and the email body to copy into your own email.
You can rewrite all four templates on the Settings tab, and switch the late-fee wording on or off there. The download also includes replies to 6 common payment excuses ("we're waiting on finance", "can we pay in 60 days?", a partial payment, no reply at all, and more), deposit and terms wording, and a printable invoice template.
Honest limits
It doesn't send emails. There are no macros or scripts: the tracker writes the email, you copy it and send it from your own inbox.
It's a tracking tool, not accounting, tax or legal advice. The wording is an example to adapt to your contract and local rules.
It works in Excel 2016+ and Google Sheets (upload the .xlsx). It doesn't connect to PayPal, Stripe or your bank; you type in payments yourself.
